01Identify the stage before requesting a refund
An OOPBuy refund question can refer to several different situations: a purchase that has not been dispatched by the seller, an item already in the warehouse, a return moving back to the seller, or a parcel delivered internationally. Start by identifying the exact item and its current stage. The next action depends on what has already happened.
Open the official order record, note the order identifier and latest status, and check whether your request concerns cancellation, an exchange, a return, or a problem after delivery. Asking for the right action reduces the chance that a general message produces an answer to a different question.
OOPBuy Tab is an independent guide and discovery site, so it cannot approve returns or access your account. Submit the request through the official OOPBuy order or aftersales channel. Keep the discussion attached to the affected order wherever possible so the evidence and decision stay together.
02Check the window and conditions immediately
The official Returns and Refunds notice describes a conditional five day, 120 hour request window after Stocked in, beginning at the next hour after the status changes. It also refers to seven days after signed receipt. Seller support for returns and acceptable resale condition are required; submitting within the window does not make every item eligible.
Read the live policy and check the timing of your own order promptly. Do not wait for the end of the warehouse storage allowance. Storage and return eligibility are different matters, and their clocks should be recorded separately in your order notes.
Some categories and conditions are excluded, including certain custom products and items whose required packaging or tags have been removed. If the order is already outside the stated conditions, ask whether the seller will consider the request rather than assuming a standard entitlement. Seller agreement remains necessary under the published notice.
03Build an evidence packet around one clear issue
Save the order details that establish what you bought: product link, selected size or color, quantity, and any relevant description. Then collect evidence of the actual concern. A label photograph can support a wrong size claim; a clear close-up and wider image can show a stain and identify where it is on the garment.
Describe the difference precisely. Ordered navy, received a label marked black is more useful than item is bad. If a measurement matters, show the measuring method and comparison point. A vague expectation about fit is harder to assess than a documented mismatch with the selected specification.
Use photographs attached to your own order or taken of the item you received. Discovery images on a spreadsheet or catalog are not proof of your parcel's condition. Preserve original files where possible and avoid edits that obscure the surrounding context, item identifier, label, or full extent of the problem.
04Separate service fees from return transport
The official notice waives the return or exchange service fee for the first operation in a calendar month. That waiver is not a promise of free postage. Additional personal reason requests can include a 5 RMB service fee, and domestic transport costs may also apply.
Ask for an itemized quote for your actual request. The published notice has differing descriptions of how an original seller shipping charge is treated, so do not calculate a universal return total from one isolated sentence. Confirm the merchandise amount expected back, the transport charges, any service fee, and who pays each part.
Then compare the net outcome. A hypothetical $18 merchandise refund with $7 in confirmed return costs would leave $11 before any other applicable adjustment. Those are illustrative numbers, not OOPBuy rates. Working through the actual quote helps you decide whether to proceed with a voluntary return or keep an otherwise acceptable item.
05Write a request that can be acted on
Keep the initial request short enough to review without losing essential details. Include the order identifier, the item and chosen variant, the relevant dates, the problem, and the outcome you want. Attach the strongest evidence rather than dozens of unrelated screenshots. If several items have separate issues, distinguish them clearly.
For example, explain that the warehouse label shows a different size from the paid order, identify both sizes, and ask for a return assessment or the correct replacement. If you simply changed your mind, state that honestly. Selecting an inaccurate defect reason can complicate the evidence review.
Ask for clarification on the next action, any amount you must pay, and whether the item should remain untouched. Follow the account instructions for sufficient balance or payment if a confirmed return charge is required. Record the response and deadline, and keep checking for questions that need your answer.
06Track a return as a process, not one button
A submitted request, an approved return, dispatch back to the seller, seller receipt, and refund completion are separate milestones. Save the confirmation that identifies which milestone has occurred. An acknowledgement that support received your message is not the same as confirmation that the seller accepted the item.
While a warehouse return is being assessed, avoid adding the item to an international parcel or authorizing changes that could affect its condition. Keep it easy to identify and preserve any packaging or components required for the return. If your plan changes, confirm the status before issuing a contradictory instruction.
For an exchange, ask what happens if the replacement is unavailable and whether additional transport charges will apply. Once a replacement arrives, inspect it as a new decision rather than assuming the earlier issue is automatically resolved. Update your item log so you do not accidentally ship the original item or lose track of the replacement.
07Distinguish refund approval from money received
When a refund is confirmed, record its amount, currency, destination, and reference. Check whether the record refers to an OOPBuy balance adjustment or a return to a payment method. These are different outcomes, and an account credit should not be mistaken for money already available in your bank account.
The official refund notice describes an expected bank card settlement period of 7–15 days after confirmation, with timing dependent on the bank. Treat that as the notice's estimate, not a guarantee or a universal timetable for every payment route. Ask support which stage applies to your specific refund.
If the expected period has passed, provide the refund reference and confirmation date when asking for a trace. Compare the original payment and refund currencies before concluding that a difference is an error. Request an explanation of any unexplained deduction rather than inventing a fee or assuming the entire purchase cost was refundable.
08Handle problems after international delivery promptly
An international return is a larger decision than a return from the warehouse. The official policy says the customer bears return shipping to China and additional return related charges, with the applicable conditions still needing to be met. Obtain written instructions and a clear cost assessment before mailing anything back.
If a delivered parcel is damaged, incomplete, or incorrect, preserve the outer packaging, shipping label, item list, and relevant photos. OOPBuy's after delivery notice includes short reporting and evidence deadlines, so contact official support immediately instead of waiting while you debate whether the issue is serious enough.
For an apparent parcel weight problem, the notice specifically asks for weighing evidence before opening. More generally, document what you receive as soon as practical and follow the carrier's delivery procedures. Do not discard packaging or attempt a repair while evidence is still needed. Reporting a concern starts an assessment; it does not guarantee a successful claim.
09Prevent avoidable return decisions on the next order
Most return preparation happens before you need a return. Verify the live variant, compare relevant measurements, estimate international shipping, and preserve the original listing information before paying. These steps reduce problems caused by choosing the wrong option or discovering that delivery exceeds your budget.
At the warehouse, review your own inspection evidence promptly and make any necessary measurement request while you still have time to decide. If you are unsure about the item, postpone packaging removal and parcel submission until the question is answered. A clear keep or return decision is more valuable than an unfinished haul waiting in storage.
Your final record should show the resolution: item retained, replacement accepted, return completed, or refund received at the stated destination. If something remains unresolved, write down the next action and who needs to take it. Use the warehouse and QC guides to build these checkpoints into future purchases from the beginning.
